Umrah Group Planning Checklist for Travel Agents

A practical Umrah group planning checklist for travel agents: departures, airlines, hotel distance, room sharing, food, laundry, ziyarat and how to brief pilgrims.

By Alliance Travel Management teamPublished Updated Based on the structure of our Umrah 1448-H budget-class departures

The Kaaba at Masjid al-Haram, Makkah

Our Umrah 1448-H budget-class departures run for 16 to 18 days on scheduled flights, with a Makkah hotel served by a shuttle, a Madinah hotel about 800 metres from the Haram, and rooms shared by 6 to 7 pilgrims. Each of those details changes what pilgrims experience, so each belongs in your package description. This checklist covers what to confirm with your ground partner before you sell a seat.

1. Lock the departure before you promote it

Confirm the departure date, the return date, the number of days, the airline and the flight timings. Our 1448-H departures have used Oman Air, IndiGo and SalamAir, and the timings differ by departure. Early-morning and late-night flights affect elderly pilgrims most, so publish the timings, not only the dates. Popular departures sell out: two of our October 2026 departures were already marked sold out on our published departure list.

2. Explain hotel distance honestly

Distance from the Haram is the biggest single driver of price and of satisfaction. In a budget package, the Makkah hotel is typically connected by a shuttle service rather than within walking distance, while the Madinah hotel can be close enough to walk. Write the distance or the shuttle arrangement into your package so pilgrims know what to expect.

3. Be clear about room sharing

Budget packages keep costs down by sharing rooms. State the sharing basis per room, and offer upgrades to smaller sharing for couples, families and anyone who needs privacy. Surprises about room sharing are a frequent complaint, and they are entirely avoidable.

4. Confirm food, laundry and Zamzam

Over two weeks or more, the everyday services matter. Our packages include Indian-taste food, a laundry service in Makkah and Madinah and a 5-litre Zamzam allowance. Confirm with your partner what is included and what is extra, and pass it on in writing.

5. Plan ziyarat and transport

Check which ziyarat in Makkah and Madinah are included, and that transport between the two cities and to the airport is part of the package. Our packages include local ziyarat in both cities and full transport during the stay.

6. Check documents and requirements early

Visa, passport and health requirements for Umrah can change. Check the current requirements at the time of booking, using official sources such as Nusuk, the official Saudi platform for Umrah. Collect documents early and keep copies for the whole group.

7. Brief your pilgrims before travel

  • Share the day-by-day plan, hotel names and flight details in writing
  • Give the local contact number for on-ground support
  • Explain luggage limits, including the Zamzam allowance
  • Assign a group leader to look after elderly travellers
  • Explain the shuttle arrangement in Makkah before arrival

8. Plan for elderly and first-time pilgrims

Many Umrah groups include elderly travellers and people flying abroad for the first time. Ask your partner whether wheelchairs can be arranged at the Haram, keep the group leader's number with every pilgrim, and pair first-time travellers with someone experienced. Remind pilgrims to carry their medicines in hand luggage for the full 16 to 18 days, with a copy of the prescription. A short pre-departure meeting, where you walk through the hotel names, the shuttle in Makkah and the daily routine, prevents most of the anxious phone calls you would otherwise receive during the trip.
